POSITION: Finance & HR Assistant
DEPARTMENT: Finance & Operations
REPORTS TO: Partner Relations Director & U.S. Office Manager
FLSA STATUS: Hourly, Part-time (6-10 hours/week)
POSITION PURPOSE
The Finance & HR Assistant plays a vital role in the day-to-day operations of Israel Firstfruits. With a keen eye for detail and a passion for precision, they ensure the timely and accurate processing of all donations and payments. They also help ensure that all income and expenses are properly coded and documented. At times, they may help prepare financial reports, budgets and tax filing documents. Their main duties include data entry into our CRM, helping with monthly reconciliations, updating records, processing payments and serving our partners with their donation-related questions. The Finance & HR assistant will also help with some basic HR-related functions, such as employee files and policy handbooks. They must be familiar with accounting procedures and dedicated to the highest level of compliance with all state and federal law, particularly as it relates to non-profit operations.
PRINCIPLE RESPONSIBILITIES:
- Assist with bookkeeping and follow accounting best practices
- Fact-check invoices for payment and processing
- Prepare and file POs
- Monitor vendor statements, wire transfer requests, and other transactions
- Process all donations (checks, ACH payments, debit/credit)
- Record service payments for events and other non-donation transaction
- Correct and modify inaccurate files and records
- Code and file all receipts
- Prepare expense reports
- Assist with monthly income/expense reconciliation
- Assist with the preparation of monthly/quarterly financial reports
- Assist with tax document preparation
- Process billing/donation adjustments and refunds
- Collection phone calls and e-mails as needed
- Maintain accurate, detailed donation records in CRM
- Create, send and follow up on invoices
- Suggest changes or improvements to increase accuracy, efficiency and cost reductions
- Help create and maintain basic HR files
- Filing, mailing and other duties as needed
REQUIREMENTS:
Education and Experience
- High school degree or GED equivalent; Associate’s or bachelor’s degree in Accounting, Finance, Business with an emphasis in accounting, or a related field preferred
- Knowledge of bookkeeping and accounting best practices, laws, standards and state/national regulations
- Accounting/bookkeeping experience
- Experience with CRM systems (experience with Salesforce CRM a plus)
- Demonstrated proficiency in Microsoft Word, Excel, PowerPoint
- Ability to work under stress and handle interactions with staff and partners, using judgment, tact and diplomacy
- Cross-cultural experience, particularly in/with Israel or the Middle East, a bonus
