POSITION PURPOSE
Israel Firstfruits is looking for a dynamic, well-organized Executive Assistant to provide high-level administrative support to members of our executive team. This person is responsible for performing a variety of secretarial, technical and administrative duties that require confidentiality, discretion, tact, diplomacy, analytical and decision-making skills. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills, the ability to identify and anticipate the executives’ needs, be results-oriented, have the demonstrated ability to effectively prioritize workflow and work independently.

PRINCIPLE RESPONSIBILITIES:
- Work independently to provide administrativesupport to the International Director (ID) and Partner Relations Director (PRD). Includes: Coordinating calendar(s), managing communication (email, phone calls) and maintaining contact files (CRM) to support efficiency.
- Compose and prepare correspondence for ID and PRD.
- Serve as a liaison between ID/PRD and partners,vendors, staff and others; answer non-technical questions and direct calls appropriately.
- Manage travel arrangements including conference registration, hotel accommodations and flights. Produce itinerary of scheduled meetings and events for conferences and events.
- Monitor multiple projects, as assigned, related to different business, community and personal interests with inter-related activities and relationships.
- Support official meetings including Board meetings and operational meetings by:
- Creating and publishing schedules
- Coordinating and publishing agendas
- Scheduling conference rooms
- Securing necessary equipment; providing support and training for audio visual equipment
- Generating documents summarizing financial, statistical and other information
- Assist with social and fundraising events, supporting executive cultural vision.
- Organize and maintain confidential files and office records.
- Serve as compliance manager for administrative forms, ensuring forms are developed, properly formatted and filed for workforce access.
- Perform other duties as assigned.
- Carry out all responsibilities with professionalism, respect for others, in accordance with the organization’s policies and applicable laws.
REQUIREMENTS:
Education and Experience
- Highschool graduate or E.D; high school-and college-level business and writing courses desirable.
- Minimum of five years’ experience providing administrative support to senior management.
- Experience with non-profit organizations desirable.
- Cross-cultural experience, particularly in/with Israel or the Middle East, a bonus.
- Proficient in Microsoft Office applications including Excel, Outlook, PowerPoint and Word.
- Ability to work under stress and handle interactions with staff and partners, using judgment, tact and diplomacy.
Specific Job Skills
- Command of English grammar and syntax to write clear, concise reports, correspondence and public relations material.
- Strong proofreading and editing skills.
- Analytical skills; recognize problems, make recommendations and in some cases, independently resolve and implement solutions.Evaluate results and progress.
