PART TIME PERSONAL ASSISTANT

Responsibilities

  • Calculate and process bi-weekly payroll in SurePayroll system
  • Work with Texas Workforce Commission (TWC) when issues arise 
  • Maintain financial data in Quicken (download transactions, assign categories, print reports)
  • Verify charge amounts on credit card statements
  • Schedule bill payments 
  • Pay invoices 
  • Make mobile deposits
  • Schedule appointments
  • Manage calendar
  • Communicate concerns or instructions to service providers 
  • Communicate questions or concerns to doctors through patient portals
  • Manage prescription refills
  • Manage insurance claims and EOB statements
  • Order supplements and miscellaneous items (tea, coffee, lawn products, etc.)
  • Set up online accounts
  • Arrange for product returns
  • Customer service calls (ex: utilities, insurance, technical, etc)
  • Document management (ex: filing and shredding)
  • Coordinate and oversee contractor/service provider work
  • Arrange for bids from service providers for special projects
  • Schedule car maintenance
  • Manage product warranties, warranty extensions, and service calls
  • Arrange for flower delivery for various occasions
  • Assist with gathering tax information
  • Manage printer updates and ink refills
  • Update software for Mac, iPad, and iPhone
  • Backup Mac weekly
  • Assist with new employee process, paperwork, and background check
  • Manage employee vacation and time off
  • Maintain administrative and payroll training documents
  • Maintain lawn care document and schedule
  • Periodic research on various topics
  • Change refrigerator filter quarterly and reorder filters as needed
  • Oversee quarterly replacement of air filter
  • Work with Ardent Health when issues arise with home visits
  • Occasional errands
  • Be available to care for Gordon if Betty has to leave for short periods (ie: make a quick lunch or snack, help find lost items, etc…no hands on caregiving is required for this position).
  • All other tasks as identified at various times. This is intended to be a summary of regular duties but is not exhaustive and can change as needed.

Qualifications

  • Proficient with Apple products or ability to quickly learn to use Mac and corresponding applications (ex: numbers, pages, reminders, mail, calendar) 
  • Proficient in Quicken
  • Good with numbers
  • Strong attention to detail
  • Strong written and oral communication skills
  • Friendly and able to establish good rapport with contractors and service providers
  • Trustworthy

Benefits

  • HOURLY PAY BASED ON EXPERIENCE AND SKILLS
