POSITION:                    Partner Relations Manager

DEPARTMENT:             Partner Relations (Development)

REPORTS TO:                Partner Relations Director, U.S. Office Manager

FLSA STATUS:               Exempt Hourly, Full-time

 

POSITION PURPOSE

The Partner Relations Manager is a self-motivated, initiative-driven team member who helps fulfil Israel Firstfruits’ mission and vision by providing high-level customer service to our global network of partners and supporters. This person plays a vital role in growing and stewarding our partner relationships, which includes actively engaging, genuinely serving and effectively communicating with potential and existing partners.

The Partner Relations Manager also provides comprehensive administrative leadership and support in the U.S. office, which includes planning and implementing day-to-day operations as well as partner-related activities and events. They work with the Partner Relations Director to develop and enhance all aspects of partner relations, partner development and fundraising functions of the organization. Additional opportunities include special project management assignments as we explore new systems, programs and projects.

Additionally, the Partner Relations Manager is responsible for the recruitment and leadership of volunteers in the U.S.

PRINCIPLE RESPONSIBILITIES:

Office Administration/General

  • Create and maintain all office systems, including organizational policies and procedures, legal compliance, etc.
  • Manage all aspects of office and partner relations inventory, including ordering, tracking, filing and organization
  • Responsible for office maintenance, i.e. ensure the office is presentable for guests, ensure equipment is working, etc.
  • Provide general administrative support, including word processing, proof reading, copying, filing, emails and scheduling
  • Provide support for all correspondence, partner and otherwise
  • Schedule and assist with various staff and volunteer leadership meetings
  • Create and implement a Volunteer Recruitment strategy to actively engage members of the Firstfruits’ community
  • Provide vision, energy and passion for Firstfruits’ mission and values in all aspects of the job
  • Other duties, as assigned by the Partner Relations Manager

Development Support

  • Provide high-level of customer service to all friends and partners of Israel Firstfruits
  • Manage all in-bound communication from partners via mail, phone and website
  • Prepare timely gift acknowledgement letters/packets, thank you notes, partner updates and make Thank You calls
  • Implement Communication Strategy for partners, which may include:
    • Formatting monthly, quarterly and campaign (spring, year-end, etc.) newsletters and e-newsletters
    • Producing segmented mailing and emailing lists for customized partner communications
    • Creating and updating collateral materials to support gift cultivation and partner stewardship, including print and electronic media
    • Creating and scheduling social media content
    • Assisting with website updates and maintenance
  • Maintain thorough and accurate database records
  • Create fundraising reports and other partner/giving-related reports, as needed
  • Provide high-level support to Partner Relations Director in identifying and developing of new partner relationships
  • Support Partner Relations Director as needed with relationship development with current partners, both in-person and virtually
  • Assist with research and information gathering for yearly reports and other special projects

Partner Events

  • Represent Israel Firstfruits by attending luncheons and/or other social functions
  • Coordinate and execute partner-related events, including planning, strategy and implementation
  • Liaise with vendors, including venues, caterers and other business
  • Solicit vendor discounts and in-kind donations for various needs

Database Support

  • Enhance and maintain CRM utilization and accuracy, taking responsibility for data entry, data accuracy, reporting mechanisms
  • Identify and implement processes and improvements to ensure the integrity of the database, including trouble-shooting, identifying inconsistencies and errors, and making necessary corrections
  • Ensure the correct entry of all gift processing
  • Create and run reports for accountant (for monthly reconciliation), year-end partner reporting, etc.
  • Oversee Moves Management tracking and automations for effective communication with partners

REQUIREMENTS:

Education and Experience

  • Bachelor’s Degree or higher, preferred
  • Two to three years’ experience of development and non-profit experience, preferred
  • Experience with CRM systems (Salesforce a plus)
  • Experience with ActiveCampaign and SurveyMonkey, or comparable services highly desired
  • Experience with WordPress desired
  • Demonstrated proficiency in Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Ability to work under stress and handle interactions with staff and partners, using judgment, tact and diplomacy
  • Cross-cultural experience, particularly in/with Israel or the Middle East, a bonus
  • Valid driver’s license and proof of auto insurance

    • Job duties may include sitting, standing, walking and lifting
    • Possible early morning meetings, evening meetings
    • Possible national and international travel
