Job Description
The position is responsible for providing support to the Experience domain to ensure timely and complete execution of all requested deliverables and help steward the process of moves management for the Investor Experience Reps caseloads. This position will also play a vital role in maintaining the knowledge base for the Experience domain. It requires excellent coordination, communication, and organization skills, the capability to multi-task, and the ability to meet deadlines under pressure.
ESSENTIAL FUNCTIONS:
- Provide support to Experience domain for in-office related tasks and collateral needs. Maintain general knowledge/awareness of team priorities.
- Serve as liaison and spokesperson for the Investor Experience team by managing deliverable requests and processes.
- Monitor and manage all collateral, including in-house inventory. Assist with the development and maintenance of the online collateral store.
- Coordinate various projects and serve as a point of contact for collateral/communication items assigned outside of Project Management.
- Act as point person for project proposals in collaboration with Executive Reps, to ensure complete and accurate information is provided in a timely manner.
- Maintain Experience’s Sharepoint and knowledge base, drafting and sending out communications and alerts as needed.
- Perform in-office mailings as needed (e.g. holiday cards, annual reports, thank you notes, collateral as produced).
- Steward the gift acknowledgment and reporting process in conjunction with workflows established by the SalesForce Administrator to alert Investor Experience Reps to upcoming moves management calendar dates.
- Assisting in Salesforce account management, and working various Investor Representative requests, including field research.
- Work with Stewardship Manager to ensure all Experience Operations related SOPs are current. Manage SOP and other review schedules, partnering with subject matter experts across the domain to ensure relevance and accuracy.
- Manage various report processes and mailing in conjunction with the Project Management team. Closely monitoring automated reporting, and performing appropriate quality checks.
- Work closely with, and maintain good relationships with, Investor Experience & illumiNations teams to identify ways to enhance operational support.
- Serve as backup for Broadbase and Mid-Level investor calls and emails that come through the SC call line to help answer questions and resolve any problems.
- Assist with investor search, wealth analytics in coordination with the Salesforce Admin, and assist the Investor Experience team with investor acknowledgments and first-time gift packets as needed.
- Responsible for all returned mail within the Experience domain. Update Salesforce and notify Investor Experience team as needed.
OTHER DUTIES
- Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes and policies.
- Lead and or participate in projects or task force groups which focus on issues having organization wide impact.
- Perform or assist with any assignments as required or directed.
WORK ENVIRONMENT:
- This job operates in a professional office environment and routinely uses standard office equipment such as laptop computers and smartphones.
TRAVEL:
- Domestic travel is expected, for meetings and corporate events. Travel will be no more than 5% annually.

Job Requirements

- Requires a Bachelor’s Degree in Business Administration, Communication, or related field; or relevant work experience.
- Requires 3-5 years of experience supporting sales, business development, fundraising, or administration.
- Advanced user of Microsoft Office: Word, Excel, Outlook.
- Strong written communication skills are essential.
- Demonstrated experience performing research independently and able to communicate findings verbally or in written format.
- Experience with database software (Salesforce, Monday.com, etc.) is strongly preferred.
