Our software platform allows trusted partners to reach Seekers online in both open and closed countries, giving new believers the ability to connect to a church on the ground in their region of the world. The organization is experiencing tremendous growth and is seeking an Executive Administrator with Bookkeeping experience who is a team player, detail-oriented, and willing to take on various tasks depending on the organization’s needs. The Executive Administrator will work hand-in-hand with the President to organize, improve and implement internal processes, and information sharing. This role will also be challenged by the high-energy environment where you will be a key player in achieving our organizational goals and financial accuracy.  This is an in-office position at the Unite Life headquarters in McKinney, Texas. This position dual reports to the President and VP of Operations.

THE OPPORTUNITY
As the Executive Administrator, you will manage activities for the President, organize meetings, conference calls, and travel; review and manage contracts, write correspondence and other communications, and handle AR/AP. We will rely on you to have your finger on the pulse of activities, projects, and issues, including potential funding opportunities. In this role, your success is all about managing priorities, identifying needs and implementing results, creating and maintaining relationships, and being warm and gracious. In this highly visible role, your excellent communication and collaboration are paramount. You will analyze situations and exercise sound judgment in determining appropriate courses of action.

The successful Executive Administrator is an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little supervision. 

THE DAY-TO-DAY 

  • Executive administrative support as needed, including (but not limited to) managing calendars, and scheduling meetings, projects, and agendas.
  • Facilitate inter-departmental communication by liaising between the President and Stakeholders within and outside the organization.
  • Facilitate communication efforts by providing Stakeholders with clear schedules, next steps, and timely responses to inquiries.
  • Arrange travel details and assist in planning meetings or events weekly, monthly, quarterly, or annually.
  • Organize and file digital and physical documents, ministry partner information, and various reports.
  • Follow up with internal and external Stakeholders weekly, monthly, or annually as dictated by the President to ensure that their needs are being adequately met and to build rapport.
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, supply requisitions, and bookkeeping services. 
  • Bookkeeping responsibilities include:
    • Enter and reconcile receipts within Expensify
    • Prepare vendor accounts payable invoices within bill.com and process payments weekly upon approval
    • Generate partner invoices monthly within QBO
    • Work with the CFO and Bookkeeper to reconcile credit card accounts on a monthly basis
    • Work with the CFO and Bookkeeper to maintain and update Cashflow reports weekly
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion.

YOUR QUALIFICATIONS

  • A passion for Jesus and fulfilling the Great Commission
  • A committed Christian regularly attending a Christian congregation with a compatible theology to Unite Life
  • Ability to work in an entrepreneurial, fast-paced, changing environment
  • Desire to serve others and work collaboratively
  • 2+ years of experience in executive support or other relevant experience 
  • Demonstrated ability to interact effectively and appropriately with high-level professionals, boards, committees, volunteers, and executive team 
  • Excellent written and verbal communication skills with an ability to distill important and complex concepts for an executive audience
  • Strong interpersonal skills with high emotional intelligence
  • Excellent time management skills
  • Proficient with GSuite and strong familiarity with Quickbooks and bookkeeping methodologies and best practices
