The Administrative Assistant will support multiple teams and assist Preston Trail church staff in furthering our mission of helping people find and follow Jesus. This individual will need to be highly organized and able to multitask while managing through competing priorities.
JOB OVERVIEW:
Executive Team Support
- Calendaring for Executive Pastors
- Managing PCO reservations
- Expense reports and management
- Booking and managing travel
- Ordering of supplies and any additional items
- Assist in ordering and preparing for meetings, retreats and special events
- Assist in Senior Leadership Team care for birthdays, anniversaries and other important life moments
- Administrative tasks as needed by Executive Team
- Manage Senior Pastor large trips (lists, mailers, logistics)
- Assist with administrative support for Work Groups
- Organize new hire and anniversary lunch/events with Executive Team
Church Wide Support
- Support for All Staff meetings (catering, reserving, set up and clean up etc.)
- Recruit, train, care for and manage/schedule the weekday Reception team
- Ordering supplies and helping manage inventory for church at large (coffee, Sysco, water, etc.)
- Manage office supplies including postage meter and printer maintenance
- Assist HR with catering orders, etc.
- Assist in securing appropriate permits for the church (beverage, food, etc.)
- Assist with large event planning and execution
- Support the onboarding of new team members (welcome gifts, desk preparation, etc.)
- Assist in executing fun moments for staff team
- Birthday cards/books and recognition for staff team
Equip Training Support
- Support instructors as directed
- Administrative tasks including purchasing, scheduling, graphic requests, etc.
- Staff communication and planning (zoom calls, calendar invites, etc.)
- Budget management with quarterly review
- Manage event registration, reservations, and course materials
- Lead communication with attendees
- Manage commissioning course reviews – initial and follow-up
- Track course completion for staff members and cue pastor to next steps conversations
- Keep Equip webpages current
Operations Team Support
- Help ensure systems and processes are being followed
- Assist Operations Team in ordering
- Help Operation Team with expenses, budgets and management of Campus Response Team

- College degree preferred and/or relevant work experience
- Strong English verbal skills
